Job Summary:We are seeking a highly organized and detail-oriented individual to join our team as a secretary.
The ideal candidate will provide administrative support to ensure efficient operation of the office
. The Secretary will be responsible for supporting day-to-day office activities, managing communication, and performing various clerical tasks.Responsibilities:
1- Administrative Support
• Assist in organizing and scheduling meetings, appointments, and travel arrangements.
• Handleincoming and outgoing communication, including emails, phone calls, and mail.
• Prepare and maintain documents, reports, and presentations.
2- Record Keeping:•
Maintain and update filing systems, both physical and electronic.
• Ensure accuracy and completeness of records and documentation.
3- Office Organization:
• Keep the office environment tidy and organized.• Order and maintain office supplies and equipment.
4- Data Entry:
• Input and update information in databases and spreadsheets
.5- Communication:• Act as a point of contact between the organization and clients, suppliers, and other external parties
.• Distribute information to team members as needed.
6- Meeting Support:• Prepare meeting agendas, attend meetings, and take minutes
.• Coordinate logistics for meetings, conferences, and events
.7- Task Coordination:
• Assist in coordinating projects and tasks to ensure deadlines are met.
• Collaborate with team members to facilitate smooth workflow.Qualifications
• Strong clerical skills, including proficiency in Microsoft Office programs
.• Excellent communication and interpersonal skills
• Experience in company secretarial work, preferably in a manufacturing.
• Previous experience in executive administrative assistance and support
• Ability to work independently and handle sensitive and confidential information.
• Very good in English and Arabic languages
• Diploma or equivalent required; associate or bachelor’s degree in business administration or related field
